What this means

Repetitive work is a hidden salary you're already paying

Every hour your team spends on copy-paste, follow-ups, invoicing and reporting is an hour you're paying for that a machine could do — instantly, 24/7, without mistakes. The numbers above are what that work quietly costs you every year.

The good news: most of it can be automated with tools like Make.com, n8n, Zapier and AI — usually as a one-time build that then runs itself. That's exactly what I do.

How to calculate automation savings

The calculator uses the same formula you can run on paper for any task:

  • Hours saved per year = people doing the task × hours each spends on it per week × share that can be automated × 52
  • Money saved per year = hours saved × fully loaded hourly cost (wage plus taxes and overheads, not just salary)
  • Net saving = money saved − yearly running cost of the tools (automation platform, AI usage, subscriptions)
  • Payback period = one-off build cost ÷ monthly net saving

Worked example: 3 people each spend 10 hours a week on data entry and follow-ups, and 70% of it can be automated. That's 3 × 10 × 0.7 × 52 = 1,092 hours a year. At a $30 hourly cost it's $32,760 a year. If the tools cost $100 a month, the net saving is $31,560 a year (about $2,630 a month), so a $5,000 build pays for itself in roughly two months.

Be conservative with the automatable share: tasks that need judgement usually keep a person checking the result. Time saved only becomes money saved if those hours go to more valuable work — so count the work you'll do instead, not just the hours.

FAQ

Automation ROI — FAQ

How do I calculate automation savings?

Hours saved per year = people doing the task × hours each spends on it per week × the share that can be automated × 52. Multiply by the fully loaded hourly cost to get money saved, subtract the yearly running cost of the tools, and divide the build cost by the monthly net saving to get the payback period.

How does the automation ROI calculator work?

It multiplies the number of people doing repetitive work by the hours they spend and the share that's automatable, then applies your hourly cost to estimate the time and money you'd save each year by automating it.

How much of my work can actually be automated?

It depends on the task. Rules-based steps — copying data between apps, reminders, invoicing, routine reports — can often be automated almost entirely, while anything that needs judgement usually keeps a person reviewing the result. If you're unsure, use a conservative 50% in the calculator.

What can you automate for me?

Lead capture and follow-up, onboarding, invoicing, reporting, data syncing between apps, customer support and more — using Make.com, n8n, Zapier, GoHighLevel and AI. Tell me your most repetitive task and I'll tell you if it's automatable.
